BACKGROUND

DESCRIPTION

The Administrative Assistant (AA) is responsible for the general maintenance of the office and kitchen area as well as the management of inventory and equipment.  The AA will also provide administrative support with various projects as needed. Duties will be performed independently and/or in partnership with other co-workers on the administration team.

RESPONSIBILITIES

  • Manage the ordering, receiving, stocking and distribution of office supplies
  • Maintain and organize files, archives, contact and project databases
  • Provide general maintenance of office, kitchen area, office equipment and kitchen appliances
  • Backup receptionist with clerical support, greet visitors, answer telephone, make bank deposits, etc.
  • Assist with various projects (word processing, formatting specs, etc.)
  • Produce marketing materials (monthly newsletters, fliers, etc.)
  • Prepare work spaces, setup and teardown conference rooms for meetings and events
  • Other duties as assigned

MINIMUM QUALIFICATIONS

  • Two plus (2+) years related administrative experience
  • AA or bachelor’s degree preferred
  • Experience in the A/E/C industry desired
  • Proficiency in Microsoft Office Suite and Adobe InDesign
  • Strong attention to detail and organization
  • Excellent communication skills
  • Must have initiative, be resourceful, and able to work independently.
  • Ability to prioritize and handle multiple tasks

PHYSICAL DEMANDS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.  While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift office products and supplies, up to 20 pounds.

This is a full-time, non-exempt position; compensation will be determined by the candidate’s qualifications. Position benefits include medical, dental, vision, life and disability insurance.
